What is Microsoft Teams?
Microsoft Teams is a cloud-based messaging platform for Microsoft Office 365 customers. Teams makes it easier and more efficient for teams to work together. Users set up group chat rooms, known as channels, allowing them to confer, stage video meetings and even store and collaborate on files.
Several channels can be created within a Team, with conversations stored chronologically to make them easy to follow. Teams’ integration with Microsoft’s suite of products, such as Word and Excel, as well as its cloud storage and sharing services, allows users to access shared files and calendars and switch effortlessly between text, voice and video chat.

Everything from hosting a webinar to planning a major project is made easier by Teams. Who hasn’t wasted hours trawling through folders and files trying to find the most up-to-date version of a document? Teams keeps everything in one place in a way that’s easy to navigate. Every document within a Team is synced with a copy in Microsoft’s OneDrive cloud storage and a local SharePoint environment. Everyone can work on it, and everyone can see what changes have been made.
Colleagues can communicate instantly with each other via individual and group messaging. Audio and video calling between up to 5,000 team members is free with all versions of Microsoft Teams. This saves the need and cost of phone calls or a Skype subscription. You could even use it to replace your whole existing phone system – for a low monthly fee, calls can be made and received from within Teams on a PC, tablet, or mobile.
In common with most Microsoft products, Teams is continuously evolving. In February 2020, Microsoft announced a raft of improvements including the ability to pick up a conversation in Teams and move it into Outlook.
Users will soon also be able to move an email conversation complete with its attachments from Outlook into a Teams chat or channel communication.
Users can now also better target their messages through the use of tags. This offers the ability to reach a specific group of users with one message, passing across all the relevant information in one targeted post.
Making it easier
Teams allows users to join video conferences from anywhere – a busy railway station, a packed café, even the back of a cab. Sometimes it can be challenging to hear what other contributors are saying. With Teams, all video meetings have rolling subtitles, allowing everyone to read the dialogue in real-time. This is an especially valuable feature for those with impaired hearing. It can help bring together delegates with different levels of language proficiency.
